Marketing Associate, Database & Sales

Position Overview:
The Marketing Associate, Database & Sales is in charge of group sales outreach and management for Village Theatre’s Mainstage programming, marketing mail list pulls from the Theatre Manager database, and various other marketing tasks to support outreach efforts in both Issaquah and Everett. This person is an active and necessary participant in all marketing meetings and brainstorming sessions, and assists the Marketing Team with Subscription and single ticket campaigns for all Village Theatre programs. The position is also the primary marketing team member for the Everett Performing Arts Center, and will work at least three days out of the week in Everett, one day in Issaquah (for team meetings), and one day flexible depending upon tasks to be completed.

(Principal Duties and Responsibilities (Essential Functions**):

  • Group Sales
    • Acts as primary liaison with group leaders throughout entire sales process, including ticket pick-up, on-site support, and customer service follow up
    • Builds customer accounts in ticketing database, sells tickets, manages invoices, and processes payments
    • Responds to patron questions in a timely manner and initiates upsell opportunities
    • Facilitates the printing and mailing of group tickets and sales materials
    • Establishes corporate “super group” rates, policies, and outreach methods for single tickets as well as subscriptions
    • Updates and maintains policies for group sales to ensure consistent excellent service, with appropriate benefits and guidelines
    • Participates in management and analysis of patron and sales data in Theatre Manager and provides regular reporting on group sales progress
    • Coordinates logistics of auxiliary programming related to group sales, including post-show discussions, restaurant recommendations, study guides, etc.
    • Assists in creating and executing a strategic plan for growing group ticket sales revenue through direct mail, email, and outbound calling
    • Researches and identifies new audience segments and plans/executes marketing campaigns to increase sales opportunities
    • Assists in crafting and executing annual group sales communications plan
    • Assists in planning, production, and distribution of group sales promotional materials
    • Attends neighborhood, chamber of commerce, and other relevant events to connect with prospects and establish relationships/network with professionals who can assist in securing group sales
  • Mailing Strategy and Database
    • Strategize mailing calendar in coordination with the Director of Marketing
    • Schedule and pull mail lists from Theatre Manager database
    • Coordinate list trade requests with other organizations
    • Coordinate weekly mailings to recent ticket buyers
    • Pull telemarketing lead lists on a weekly basis during call campaigns
  • Manage collateral distribution as needed for all Mainstage, Village Originals, and KIDSTAGE productions
  • Manage lobby displays, and other marketing maintenance for all facilities
  • Maintain marketing archives by filing away print materials as they arrive and assisting the department to recycle old materials at the conclusion of each show
  • Manually update the marquees at First Stage (Issaquah) and the Everett Performing Arts Center utilizing either a ladder or extended pole
  • Manage content and updates for the electronic marquee at the Everett Performing Arts Center
  • Update all outdoor poster boxes and window displays at all facilities
  • Attend Publicity photoshoots and assist with facilitating collections of necessary props, costume pieces, or food for talent
  • Periodically review website content for accuracy, including ensuring that program information is removed as soon as a program closes.
  • Participate in weekly strategic marketing meetings in Issaquah
  • Some work on nights and weekends will be required
  • Other marketing initiatives as directed

Education and/or Equivalent Experience Preferred:

  • College degree in marketing, or similar field, or theatre majors with excellent sales and marketing skills.

Work Experience:

  • 2+ years sales experience
  • 1+ years experience in nonprofit of performing arts organizations preferred

Physical Ability:

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Comfort with occasional physical tasks, such as hauling boxes and climbing ladders

Other Skills, Ability and/or Knowledge:

  • Confidence and comfort with sales and outreach to potential group sales leads
  • Proactive attitude and self-motivated
  • Strong organizational skills and attention to detail
  • Solid sense of logic and analytics, to be used in building mail lists with tiered functions and “and/or” qualifiers
  • Experience with database systems, such as Theatre Manager or Tessitura preferred
  • Strong written and verbal communication skills
  • Solid interpersonal skills
  • Creativity and the ability to “think outside of the box”
  • Ability to work independently and on multiple projects in a fast-paced environment
  • Computer literate; knowledge of Word, Excel, and Outlook
  • Design skills such as InDesign and Photoshop preferred, but not required

Audience Services Representative - Issaquah

Reports to Box Office Manager and Assistant Box Office Manager

Job Summary:
Village Theatre is looking for a friendly, reliable, detail-oriented person to work in the Issaquah Box Office. Job is part time at 15hrs to 20hrs per week. Must be able to work evenings, weekends and holidays as needed. EEO.

General Responsibilities:
Sell tickets and provide accurate records of sales and deposits while maintaining a positive image of Village Theatre. Work as a team within the Box Office and within the entire organization to provide superior service for Village Theatre patrons and to support each department.

Specific Responsibilities:

  • Provide excellent customer service and accurate information to all patrons and visitors in a friendly manner.
  • Handle customer complaints or refer them to appropriate personnel.
  • Understand and operate Theatre Manager ticketing software to sell tickets, make exchanges, and access and update customer information.
  • Take and process single and season ticket orders for all Village Theatre events, and record the desired marketing and mailing information.
  • Accurately handle purchases and redemptions of gift certificates.
  • Assist the Box Office Manager and Assistant Box Office Manager in the preparation and mailing of season tickets.
  • During subscription season, file subscription forms daily and ensure that all filed forms have been processed.
  • Count and balance checks, cash, and credit cards at the close of each day. Run End of Day reports.
  • Ensure that till(s) have been counted and initialed as counted at the close of each business day.
  • Keep the Box Office secure at all times and allow only authorized personnel in the Box Office.
  • Prepare House Manager Report immediately following the start of each performance.
  • Perform other duties as required by Box Office Manager, Assistant Box Office Manager, or Director of Finance.
  • Attend all Main Stage productions preferably during the Friends and Family preview or opening week.

Skills & Qualifications:

  • Ability to work independently and as part of a team in a small office
  • Ability to adjust priorities and assignments to meet patron and company needs
  • Comfortable with computers, and capable of learning new ticketing and CRM systems quickly.
  • Previous ticketing experience is helpful, but not required.
  • Ability to remain calm under pressure
  • Pleasant and clear speaking voice both in person and over the phone

Village Theatre KIDSTAGE seeks students 18 years of age and above for internships in our classrooms for summer. KIDSTAGE Internship programs support the development of outstanding theatre professionals by providing a structured program of training, coursework, and extensive progressive in-class and hands-on learning experiences. Designed to prepare students for careers in theatre arts, internships translate the KIDSTAGE philosophy of “Skills for Theatre … Skills for Life” into classroom technique.

Internship programs are available in Issaquah and Everett Washington and include:

  • A customized learning plan
  • 20–40 hours per week spent in the classroom assisting an experienced theatre arts educator.
